The O’Shaughnessy has fantastic events on the calendar including the Ananya Dance Theater, Contempo Physical Dance, The Goodman Lecture and the James Sewell Ballet. We also host the state high school one-act plays! Join us as an Usher or Audience Services Liaison where you may work as an usher, sell / take tickets, greet the audience, assist with questions, seating or any issues that may arise during an event.

Position Title Management Assistant / Administrative Assistant

Position Summary

St. Catherine University and The O’Shaughnessy invite applications for a full-time Management Assistant / Administrative Assistant.

Since its inception, The O’Shaughnessy has become a forum for women in leadership. Coretta Scott King, Dr. Susan Love, Jeham Sadat and Madeleine Albright have all shared their stories from its stage. Annually, it hosts a variety of public lectures and St. Kate’s educational programs, as well as convocations, commencement and many professional performances. A wide range of artists including music, dance and theater companies rave about its performance space and acoustics. The Administrative Assistant is a critical team member for daily business and financial operations as they handle bookeeping, invoicing, budget recording, and collecting data for sponsorships and grants. Additionally, this role will act as a Front-of-House Manager, overseeing front-of-house operations for approximately five events per month. Responsibilities include:

    • Create and submit invoices for rental events, assist with settlements from presented activities, generate reports on accounts payable and receivable in conjunction with Business office,
    • prepare monthly and event-segmented financial reports tracking the venue’s income and expense,
    • assist with financial information needed for University audit,
    • manage e-commerce initiatives including credit card payments and marketplace set up,
    • Administer contracts for all O’Shaughnessy events.
    • Facilitate the annual budgeting process in partnership with the Executive Director.
    • Act as lead Front of House Manager on select O’Shaughnessy events,
    • Work with Sales and Marketing Manager and Executive Director on specific, targeted marketing and outreach strategies.
    • Take ownership for execution of select portions of event-based marketing plans.
    • Promote and embody high level of customer service with patrons, clients, and staff.
    • Occasionally serve as ticket office representative.
    • Grant research and support to assist the grant office with reports, finances, and narratives. Partner with Executive Director in prospecting, cultivation and stewardship of grant sources.

  • One year of full-time work experience
  • Proficient in Excel.
Preferred Qualifications
  • One year of full-time work experience in an administrative setting
  • Experience working in professional arts organization(s)
  • Strong organizational, analytical, computer and research skills
  • Past experience with contract execution and marketing.
